Custom software company for small business

Custom software solutions for the job your current tools almost do.

When your tools almost do the job, we build the missing piece: client portals, quoting calculators, booking and intake tools, dashboards and integrations between the systems you already pay for. We build on standard tools such as Next.js, Node and Postgres and document everything. The code, repository and production accounts are yours from the first day. A free first call and a free written scope set a fixed price and a timeline before any build starts.

The workaround that eats your week.

A quote takes forty minutes because the prices live in a spreadsheet and the terms live in a Word file. Client files arrive by email, get saved to a shared drive, and then get asked for again. Every Friday, someone copies numbers by hand from your invoicing tool into a report. It's slow, it depends on one person remembering the steps, and it breaks the week that person is away.

Off-the-shelf software covers most of what you need and leaves the awkward part to you. Custom development builds that awkward part properly, once, so it runs the same way each time and anyone on your team can use it. We build the smallest tool that gives you those hours back.

Small business custom software development: what we build.

Client portals

A client portal gives each customer one private place to log in, see their documents, check the status of their job, upload what you need from them and message your team. It replaces email threads, "can you resend that" requests and shared folders with confusing permissions. We build portals with proper sign-in, so each client sees only their own records, and an admin side where your team updates status, attaches files and sees who has opened what.

Typical uses are accountants collecting year-end documents, clinics sharing forms before a visit, agencies sharing deliverables, and contractors posting job photos and sign-offs. A portal can stay small and focused on the few tasks your clients repeat most.

Quoting calculators

If your prices follow rules, a calculator can apply them. We build quoting tools that take a customer's inputs, such as size, quantity, materials, location or service level, apply your pricing logic and produce a clear estimate or a formatted quote. Some sit on your website and turn a price question into a qualified lead with the details already filled in.

Others run inside your business, so your team produces consistent quotes in minutes without copying from an old spreadsheet. The pricing rules live in one place you can update, so a price change doesn't mean editing ten documents. Where a quote needs human review, the tool drafts it and routes it to the right person on your team.

Booking and intake tools

Generic booking widgets work until your process has a rule they can't follow: a pre-visit questionnaire, a deposit, different durations per service, or a check that the job is in your area. We build booking and intake flows around your actual rules. A new customer answers the questions you need, picks a slot that fits your real availability, and arrives with their details already in your system.

Intake forms can branch by service, collect files and signatures, and send each inquiry to the right person. Where your calendar or practice software already handles the booking itself, we build the intake around it and connect the two, so nobody types the same details twice.

Dashboards

Most small businesses already have the numbers they need, spread across the invoicing tool, the CRM, the booking system and a spreadsheet someone updates by hand. We build dashboards that pull from those systems automatically and show the handful of figures you check every week: jobs booked, quotes sent and won, invoices outstanding, work in progress by stage.

A dashboard is only useful if people trust it, so we agree each figure's definition with you before we build it and show where every number comes from. Access is set per person, so a manager can see the team's pipeline while a technician sees only their own jobs. You stop assembling the Friday report by hand.

Integrations

Software that was never meant to talk often needs to. We connect the tools you already pay for: a form that creates a record in your CRM, an accepted quote that becomes an invoice, a payment that updates a client's status in your portal. Where a tool has an API (a published way for software to exchange data), we use it. Where it doesn't, we find the most reliable route available and tell you its limits in writing.

Each integration logs what it did, retries when the other system is briefly down, and sends an alert when something fails, so a broken connection doesn't go unnoticed for a week. If your need is mostly follow-up messages and workflows between existing tools, our automation service may cover it without custom code.

When we will tell you not to build custom.

If an off-the-shelf tool already does 90 percent of the job, we'll say so, name the tool if we know one, and suggest how to cover the rest with a setting, an integration or a small change to how your team works. The first call can end with a recommendation to buy a subscription and skip the build. Because the first call and the written scope are free, that answer costs you nothing.

Building makes sense when the gap costs real hours every week, when the process is part of what makes your business different, when you pay for several tools to do one job badly, or when your clients would notice and value the result.

A standard stack any good developer can maintain.

We usually build custom web applications with widely used tools such as Next.js for the interface, Node for the server logic and Postgres for the data, and pick what fits each project. Because these tools are widely used, well documented and open source, another developer can take over the project. Every project ships with tests on the paths that matter most, such as sign-in, payments and the calculations your business depends on, plus monitoring that sends an alert when something breaks.

Setup and deployment are documented as we go, so a developer you hire later can get up to speed by reading what's already there.

How a custom project runs.

  1. Free first call. We learn how the work happens today, who does it, which tools are involved and where the time goes. This is also where we decide together whether to build or buy.

  2. Free written scope. A plain-language document listing what the software will do, what it will not do, who uses it and how we will know it works.

  3. Fixed price and milestones. The scope carries a fixed price and a timeline, with the milestones agreed before building starts. Anything that cannot yet be defined is quoted separately, so the agreed price does not drift.

  4. Build. We deliver in stages on a staging version you can open and use at any time, with tests and monitoring set up as we go, before anything reaches your customers.

  5. Handover. You receive a written guide to what runs where, the deploy steps, where backups live, the checks to run before each release and what each part does. Monitoring alerts route to you from here.

Your code, your repository, your accounts.

The code sits in a repository under your own account from the first day. Production accounts, such as the database, sign-in and payments, are registered in your name, and we work in them with collaborator access you can remove at any time. After handover, monitoring alerts go to you or your own developer. If you move development in-house or to another firm, you already hold the code and accounts, and the handover guide shows the new team what runs where.

Our how we work page sets out the same ownership rules for website projects.

Note on support: After handover, you can add a monthly support agreement, quoted for your app, covering monitoring alerts, fixes and small changes. Without one, fixes are quoted per request.

Built a prototype in Lovable, Bolt or Replit?

If you already have a working version of your idea from an AI app builder, you may not need custom development from scratch. You need the prototype made production-ready for real users, which is what our vibe-coded app to production service does. It starts with the $299 Production Readiness Audit: a scored report and fix list within five business days of access to your project, with the fee credited toward a build ordered within 60 days of the report. Most small app builds cost $4,000 to $15,000.

All prices are in US dollars. If the prototype is the wrong foundation, the free first call on this page applies to a fresh build.

Questions about custom software for small business

How much does custom software cost for a small business?

Custom software is quoted after a free first call and a free written scope, because a quoting tool and a client portal with payments are different jobs. The scope sets a fixed price and a timeline before anything starts. If you already have a prototype from an AI app builder, production builds start from $4,000. See our pricing page for the services with published prices.

What support do you offer after handover?

Support is optional, on a monthly agreement. It is quoted for your software and covers monitoring alerts, fixes and small changes, so we keep watching it with you. Without an agreement, the software runs in your accounts, alerts go to you or your developer, and we quote any fix you ask for per request. The handover guide gives a new developer what they need.

Should I build custom software or use an off-the-shelf tool?

Use the off-the-shelf tool when it already does about 90 percent of what you need. Build custom when the gap costs your team hours every week, when the process sets you apart from competitors, or when you pay for several tools that each do part of the job badly. The free first call answers this for your case, and we will recommend buying when buying is right.

Can you connect custom software to the tools we already use?

Yes. Most custom tools need to connect to something you already pay for, such as your CRM, invoicing, calendar, email or payment provider. We use each tool's API where it has one and explain any limits in writing where it does not. If you mainly need automated follow-ups between existing tools, our automation service may be the cheaper route.

What is the difference between custom software and a website?

A website presents your business and turns visitors into inquiries. Custom software does work for you or your clients after that point, such as quoting, booking, sharing documents or reporting. The two often meet, since a calculator or booking flow can live on your site. If you need the website itself, start with our web design service.

How long does a custom software project take?

Every written scope includes a timeline, with dates or milestones, before any build starts. It depends on what the software has to do and how many systems it connects to, so a focused tool with one job moves faster than a portal with payments and several user roles. We deliver in stages on a staging version, so you can use working parts well before the final handover.
