Email campaigns to past customers and leads

Database reactivation: win back the customers and leads you already have.

Database reactivation is a planned email campaign to the past customers, old leads and unclosed quotes already in your CRM, inbox or spreadsheets. We clean and segment the list, flag contacts whose consent looks expired or unclear, write the messages in your voice and send them in waves. Every reply goes straight to you. It's part of our automation service and needs no ad spend.

Campaigns start from $1,000. All prices are in US dollars.

  • Founded in 2009, by a founder building websites since 1999
  • Email campaigns to US and Canadian contacts
  • We reply within one business day (Monday to Friday), by email

Why your old list deserves a campaign before you buy new leads.

A business that has traded for a few years has a list of people who once said yes, or nearly did: customers who bought once and never came back, leads who asked for a price and went quiet, quotes that were sent, opened and forgotten. Each of those people already knows your name and has already shown they need what you sell.

You're picking up a conversation that stalled, usually because life got busy on their side or follow-up slipped on yours. New leads still matter, and our SEO service and free website checker cover that side.

What that means for you:

  • A second chance with contacts you already paid to win
  • No ad budget, no new platform to learn
  • Replies land in your own inbox, ready for you to answer

Who a reactivation campaign suits, and who it doesn't.

It suits you if:

  • Your past customers, leads or quotes sit in a CRM, an inbox, a spreadsheet, or your booking or accounting software
  • Most of those contacts are in the US or Canada
  • You want to restart those conversations by email, in your own name

It is not for:

  • Contacts outside the US and Canada. For now they are left out of the send.
  • Patient lists. We don't take on patient lists from healthcare providers.

What counts as your database.

Your database is every person who has contacted you or bought from you, wherever their details ended up. For most small businesses that list is scattered across the accounting software, the booking tool, an email inbox and a spreadsheet someone stopped updating.

We pull those sources together into one working list: past customers who haven't bought in a while, leads who asked for a quote and never decided, inquiries that never got a proper follow-up, people who booked and didn't show, and sign-ups who never became customers. Each group gets its own message.

We keep the date each person last bought or asked, because that date decides who can be emailed. The list goes only into a sending tool you approve, in your name, and the cleaned list is yours to keep.

How we run a database reactivation campaign.

A campaign follows these six steps, and before any work starts, you get a written scope and a fixed price for it.

  1. Clean and segment the list. We merge duplicates, verify every address before sending, remove past opt-outs, keep only US and Canadian contacts, and split the list into groups such as past customers, open quotes and cold leads.

  2. Flag consent that looks expired or unclear. We group contacts by where they came from and when they last bought or asked, flag the ones whose consent looks expired or unclear, and you decide. Every opt-out is recorded and honored.

  3. Write the messages in your voice. Short, plain messages that reference the last real interaction and ask one clear question. You approve every message before it is sent.

  4. Send in waves. By email only, from a sending tool in your name, with SPF, DKIM and DMARC set up on your domain (email settings that prove the messages really come from you), in small batches so your everyday email isn't affected.

  5. Route replies to you. Every reply lands in your inbox or CRM, tagged by segment.

  6. Stop on reply or opt-out. Anyone who replies or unsubscribes gets no further automated messages.

Messages that sound like you, from you.

A reactivation message works when the person recognizes who sent it and why. So the messages go out from your name, written the way you write. We study a few of your past emails, then draft short notes that mention the last real interaction and ask one question the person can answer in a line.

We don't write long sales pitches, fake urgency or subject lines designed to trick someone into opening. Those get unsubscribes and spam complaints, and they spend the goodwill that makes an old list valuable. In an AI database reactivation campaign, AI sorts and drafts; you approve every message.

The email rules we build to, in plain terms.

Campaigns go by email only, built to CAN-SPAM in the US and CASL in Canada. CAN-SPAM is an opt-out law. Every email uses an accurate sender name and an honest subject line, includes your business's physical postal address and a working unsubscribe link, and is identified as an ad unless the person opted in to hear from you.

The law gives you 10 business days to honor an unsubscribe. Our campaigns stop messaging that person straight away.

CASL works the other way: it needs consent. Implied consent from a purchase lasts two years, and implied consent from an inquiry lasts six months, unless the person gave express consent. Canadian contacts past those windows can't be emailed, and that includes an email asking them for consent, so they stay out of the send. Old leads and stale quotes often fall outside those windows, which is why step 2 flags them.

Who decides which contacts get an email.

Flamcom does not make legal judgments. We build campaigns to these rules; you confirm your consent records, and if in doubt, ask your lawyer. The business whose offer is in the email stays responsible under these laws even when someone else sends it, which is why the final say on each segment sits with you.

Three policies hold on every campaign. We won't send to bought or rented lists. You approve every message before it goes out. The cleaned list stays with you when the campaign ends.

What you get from a reactivation campaign.

  • The campaign. A cleaned, segmented contact list, the approved messages for each segment, and the send schedule in waves.
  • A simple report. Replies and unsubscribes by segment, plus calls booked through the booking link in the messages if the campaign uses one. Otherwise we add the bookings and quotes you share with us.
  • A clean list to keep. The merged, de-duplicated list stays yours, ready for ongoing follow-up.

Database reactivation is part of our automation service. If the campaign shows that leads were going quiet because follow-up was manual, our automation workflows can take over the follow-up, so the list doesn't go cold again.

Questions about database reactivation

What is database reactivation?

Database reactivation is a campaign that contacts people already in your records, such as past customers, old leads and unclosed quotes, to restart the conversation. It uses short, personal messages, sent by email. Because these people already know your business, it needs no ad spend, and replies go straight to you.

Is it legal to email my old customers?

It depends on where each contact lives and what your records show. In the US, CAN-SPAM is opt-out based: every email must be honest, identified as an ad unless the person opted in, carry your postal address and honor unsubscribes. In Canada, CASL implied consent lasts two years after a purchase and six months after an inquiry. You confirm your consent records, and if in doubt, ask your lawyer.

Do I need a CRM to run a campaign?

No. A campaign can start from an inbox export, a spreadsheet and the customer list in your accounting or booking software. We merge them into one clean list you keep. If you want follow-up to run automatically afterwards, our automation service can connect that list to a CRM you choose.

How is AI used in a reactivation campaign?

AI sorts a large list into segments and prepares first drafts that mention each contact's last interaction, written the way you write, based on a few of your past emails. It sends nothing on its own. You approve every message before it goes out, and replies come to you, not to a bot.

How much does database reactivation cost?

Campaigns start from $1,000. That covers cleaning your list and checking consent, setting up sending with SPF, DKIM and DMARC on your domain, and a 3-email campaign written in your voice. Larger lists or longer sequences are quoted, because the work depends on how many sources the list sits in and how much cleaning it needs. You get a written scope and fixed price before anything starts. Our pricing page shows all published prices.
