Automation for small businesses
AI automation services for follow-up that runs on time, without you chasing it.
New inquiries get a reply within minutes, even at 7 pm on a Sunday. We build that follow-up for small businesses: instant replies, lead routing, follow-up sequences, appointment reminders and review requests. We connect the CRM, calendar and email tools you already pay for, mostly with custom Python scripts, and use AI only where it beats a plain rule. Each workflow comes with plain-language notes on what runs, where, and how to pause it.
Projects start from $750 for the first two or three workflows, which are typically live within 1 to 2 weeks. All prices are in US dollars, and your written scope sets the final fixed price after we map how your business handles leads today.
- Founded in 2009; our founder has built websites since 1999
- Most clients in the US and Canada, others in the Gulf and Europe
- We reply within one business day (Monday to Friday), by email
The leads you lose are the ones nobody answered.
A new inquiry lands at 7 pm. The owner sees it the next morning and replies at lunch. By then the customer has booked whoever answered first. A quote goes out, and nobody checks back a week later.
A customer finishes a job and is never asked for a review. These steps are small, they repeat every day, and they fall to whoever is least busy, which in a small business is nobody. A workflow does the same step the same way at 7 pm on a Sunday as at 10 am on a Tuesday, and it doesn't forget the second follow-up.
What that means for you:
- New inquiries get a reply within minutes, at any hour
- Each lead lands in your CRM with a tag, an owner and a next step
- Reminders and review requests go out without anyone remembering to send them
- Your team keeps control of anything that commits the business
The workflows we build to answer and book leads.
Most small businesses get the clearest payoff from four workflows that sit between a new inquiry and a booked job.
- Instant reply to new inquiries. When a form, email or message comes in, the customer gets a reply in your voice within minutes, with the next step and a booking link if you use one.
- Lead routing and tagging. Each inquiry is tagged by service, location and source, then assigned to the right person, so nothing sits in a shared inbox waiting for someone to claim it.
- Follow-up sequences. Leads who go quiet, and quotes that have not been accepted, get a short series of check-ins that stops the moment the person replies.
- Appointment reminders. Booked customers get a reminder before the visit with the time, address and what to prepare, plus an easy way to reschedule.
The workflows that bring customers back and keep your team informed.
- Review requests after a job. When a job is marked complete, the customer gets a thank-you and a direct link to leave a Google review, sent soon after the job is finished, while it is fresh.
- Database reactivation. Past customers, old leads and quotes that never closed get a planned email campaign in your voice. Reactivation is part of our automation service, with its own page: database reactivation campaigns.
- Internal notifications. The right person hears about a large inquiry, an unhappy reply or a missed booking in the channel they already check, instead of finding out days later.
- Reporting. A simple weekly summary of inquiries, response times, bookings and reviews, so you can see what the workflows are doing without opening five dashboards.
Where AI helps.
AI is useful for one job plain rules can't do well: making sense of messy, human-written messages. That makes it worth using at a few specific points:
- Sorting a free-text inquiry by service and urgency, even when the customer picked the wrong option on your form
- Pulling a name, address, job type and preferred date out of a rambling email and into the right CRM fields
- Summarizing a long thread or call notes into three lines, so the next person knows where things stand
- Drafting a first reply to an unusual question, for someone on your team to check and send
Those are the points where AI workflow automation saves real time, because the alternative is a person reading and retyping. We use AI there, and we test it on your own past inquiries before it touches a live one.
Where a plain rule is better, and where a person signs off.
Anything that must happen the same way every time should run on a plain rule: send a reminder 24 hours before an appointment, tag a lead by the form they filled in, stop a sequence when someone replies, route inquiries by ZIP or postal code. Rules cost less to run, behave the same way each time, and anyone can read them to see why something happened. Adding AI to those steps only adds cost and a new way to fail.
We also draw a firm line on approval. A person on your team approves anything customer-facing that matters before it goes out: prices, quotes, refunds, replies to complaints, and any message that promises a date or commits the business. AI can draft those messages and queue them for a quick yes or edit, but it doesn't send them alone. Routine confirmations and reminders you have already approved as templates can run without a check.
Custom Python scripts first, no-code tools where they fit.
Your CRM, calendar and email tools rarely talk to each other. Connecting them rarely needs a new platform. Our preferred way to connect them is a custom Python script or a workflow in n8n (a workflow automation tool): a script isn't billed per task, and it handles messy data and unusual logic that no-code tools struggle with. Where a simpler setup fits better, we use Zapier, Make or your CRM's built-in automation instead.
Scripts run on your servers or ours, decided per project. If a script runs on ours and you stop working with us, we hand over its code and move it to your own account on request. Tool accounts such as n8n, Zapier, Make or your CRM sit in your name and on your bill, and we take no referral or affiliate commission on any tool we recommend.
Bigger gaps, such as a link to an older system, go to our custom development team. After handover, you can add a monthly support agreement, quoted for your workflows, covering monitoring alerts, fixes and small changes. Without one, fixes are quoted per request.
Plain-language documentation for every workflow.
Every automation we hand over comes with a written page in plain language. It says what starts the workflow, what each step does, where it runs, which accounts and tools it touches, where the message text lives, where its logs and failure alerts go, and how to pause it if something looks wrong. At handover we walk your team through each workflow on a call.
Whether your team can edit message wording themselves depends on the workflow. We agree it in the written scope, so you know before the build who changes what. Changes to a script's logic are a job for a developer, ours or yours.
How an automation project runs.
We start by learning how your leads and jobs move today. The build comes after, and before any work starts, you get a written scope and a fixed price for it.
Map your current process. We trace what happens from the moment an inquiry arrives to the moment a review is left: which tools, which people, which steps are manual and where leads go quiet. You see the map before we recommend anything.
Pick the two or three workflows with the clearest payoff. We rank the gaps by how often they happen and what they cost, and start with the few that matter most.
Build. We write the scripts or set up the workflows, write the messages in your voice, and add the approval steps for anything customer-facing that matters. Each workflow gets logging, automatic retries and failure alerts as standard.
Test. Each workflow runs against test leads and past inquiries before it goes live, including a reply on day two, an opt-out and a duplicate contact.
Hand over. The written documentation and a walkthrough call with your team.
When automation is the wrong first step.
We'll tell you if automation isn't the right spend yet. If the process itself is unclear, with different people handling the same inquiry in different ways, automating it only makes the confusion faster. If you get a handful of inquiries a month, a calendar reminder and a saved email template may be all you need, and we'll say so.
The other common blocker is the website. If your contact form asks for the wrong details, or the site is slow and few people fill it in, even a well-built workflow has little to work with. Then the order is: fix the form and the page first, then automate what comes through it. Our conversion rate optimization work covers the form, and the free website checker shows how one page of your site performs on a phone.

Questions owners ask about our AI automation services
What do your AI automation services include?
They include mapping how your leads and jobs move today, building the workflows that close the gaps, testing them, and handing them over with plain-language documentation. Typical workflows are instant replies, lead routing, follow-up sequences, reminders, review requests, database reactivation, internal alerts and a weekly report. We pick the first two or three together, based on how often each gap happens and what it costs you.
Do you work as an AI automation consultant, or do you build too?
Both, and you can choose either. The consulting part is the process map and a ranked list of the workflows worth building, so you know what to automate and what to leave alone. Usually we then build, test and hand over those workflows. If your own team will build them, we quote the map and recommendations on their own.
What is the difference between AI automation and ordinary automation?
Ordinary automation follows fixed rules, such as sending a reminder 24 hours before a booking or tagging a lead by the form they used. AI automation adds a step that reads messy text, such as sorting a free-text inquiry or pulling a job type out of an email. We use rules wherever they work and AI only at those reading steps, with a person approving anything that commits the business.
Are there ongoing costs after the build?
You pay your own tool subscriptions, plus any other running cost listed in your written scope. Tool accounts such as n8n, Zapier, Make or your CRM are in your name and on your bill, and if a workflow needs a new tool, we explain its monthly cost before you agree. We take no commission. A monthly support agreement is optional; without one, fixes are quoted per request.
How much does an automation project cost?
Automation projects start from $750, which covers two or three workflows built in Python or n8n. The final price depends on how many workflows you need, how many tools they connect and how messy your existing data is. We map your current process first, then send a written scope with a fixed price; larger builds are quoted there. The first workflows are typically live within 1 to 2 weeks. Our pricing page lists every published price.
What happens if an automation breaks?
Each workflow we build logs what it does, retries automatically when a connected tool fails for a moment, and sends a failure alert when the retry does not work, so a broken step is caught early. A monthly support agreement covers those alerts, fixes and small changes; without one, fixes are quoted per request. If a script runs on our servers and you leave, we move its code to your own account on request.
Which automation should a small business set up first?
For most small businesses, it is the instant reply to new inquiries, because the first business to answer often gets the job, and the workflow is quick to build. Close behind are follow-up on open quotes and a campaign to past customers. If you have years of old contacts in a CRM or spreadsheet, start with database reactivation, since those people already know you.
Tell us where your leads go quiet.
Send us the tools you use and the point where leads stop hearing from you. We recommend the two or three workflows worth building first, and quote them in writing.
